PATIENT FOLLOW-UP
A more prepared conversation before the human handoff
Prepare patients for a staff conversation and avoid an unanswered transfer becoming a dead end.

A care-team callback is easier when the patient knows who is calling and is available to talk. A configured VoxPilot outreach workflow can support that first administrative exchange, then attempt a transfer to an approved destination. The clinic decides the script, contact permissions, timing, and what belongs with a human.
Start with availability and permission
Use an approved introduction that identifies the clinic and the AI caller. Confirm that the intended person is available before moving into the next step. Voicemail and third-party answers need clinic-approved wording that does not disclose sensitive details.
Existing outbound calling supports configured campaigns. A patient-facing campaign should use a clinic-approved contact list and script, with appropriate contact preferences and calling times. A relationship with the clinic does not mean every message or time is appropriate.
Collect a request to discuss a change
A script may ask whether the patient would like to discuss a change or question with the care team. Capture the request in the patient’s own words only within the clinic’s approved information-handling workflow.
The AI should not interpret that response as a diagnosis, score clinical urgency, or change a care plan. When the response needs clinical attention, follow the clinic’s approved handoff process. Keep the conversation focused on reaching the right person.
Handle connected and unavailable staff differently
With human transfer enabled, the agent can attempt a configured staff destination. Availability checks or a callback preference help avoid an unwanted transfer attempt. A promised warm introduction or chart update needs a separately verified workflow.
If the staff member does not answer, do not imply the patient spoke to the team. Use your approved fallback: explain the outcome, collect a callback request, or offer another authorized route. Review both successful and unsuccessful transfer scenarios before launch.
