REFERRALS
Keep referral calls moving toward the right team
Where referral calls lose momentum—and how a clearer reception process helps.

A referral call may come from a patient, a referring office, or a specialist’s team. Each needs a different answer. Reception automation becomes useful when it identifies the kind of request, applies your clinic’s approved routing rules, and leaves staff a clear administrative next step.
Recognize which side of the referral is calling
Ask whether the caller is requesting information about the referral process, following up on a referral, or trying to reach your referral coordinator. Use a short clinic-approved question instead of a long clinical interview.
Confirm the intended office or department. For a multi-location practice, the correct branch matters as much as the reason for the call. Avoid inferring that a referral has arrived, been reviewed, or been accepted.
Connect the conversation to the referral team
Your call flow can collect approved callback details and a concise description of the request. Configured human transfer destinations can connect callers to the appropriate office when staff are available.
Referral status needs a verified source. Without an approved system connection, the receptionist should collect a status inquiry for staff rather than improvise an answer. Authorization, scheduling eligibility, and clinical review remain with the appropriate people.
Reduce the next round of phone tag
Have the clinic define a clear callback process and approved wording for expected next steps. A caller should know whether they requested a callback, were transferred, or need to complete a separate process.
Review requests that bounce between teams. Missing destination details and unclear ownership are useful signals that the call flow needs adjustment. Improve the intake before adding more questions.
