AFTER-HOURS SUPPORT
Keep the front door open after the clinic closes
Plan the handover between evening calls and the team that returns in the morning.

An after-hours caller may need tomorrow’s opening time, an appointment request, or a staff callback. A good reception workflow can keep those administrative conversations organized when the desk is closed. It also needs to know when the clinic’s approved instructions call for a different route.
Build a separate after-hours call flow
Start with the clinic’s actual hours and location. Explain that the office is closed, then offer the administrative actions the clinic wants available: directions, routine questions, appointment requests, or a callback request.
Decide which requests should wait for office hours and which approved destinations can receive a transfer attempt. An on-call destination must be configured and tested; the AI cannot create staff availability.
Make the fallback as clear as the greeting
Define what happens when an on-call destination is busy or unanswered. The agent can explain the transfer outcome and use the fallback your clinic approves. Avoid saying a clinician has been notified unless a verified workflow has done so.
Clinical questions and emergency language require your practice’s approved handling instructions. Reception automation is not a symptom-triage or emergency service. Keep those boundaries clear in the script and during testing.
Make morning follow-up easier
Your staff should receive a clear request, callback details, and the administrative context needed to continue. Agree on ownership so after-hours requests do not wait in an unreviewed queue.
Review the first batch of calls with the front desk and the appropriate clinic leads. Look for missing details, ambiguous appointment status, unnecessary transfers, and caller confusion about when they will hear back.
